The main factors are stand size, custom or modular build, design complexity, lighting, screens and AV, furniture and flooring, venue and organiser requirements, and timing. Evoke Sense prepares a tailored proposal from your brief rather than a fixed price list.
Last updated 24 October 2026We do not publish a fixed price list, because two stands of the same size can cost very different amounts. This guide explains the main factors so you can brief a stand builder clearly and compare quotes fairly. It contains no figures on purpose: any number we gave here would not fit your show or design.
Stand size and layout
Larger stands need more structure, flooring, graphics and installation time. The layout also matters: island stands open on several sides generally need more finishing than a stand open on one side.
Custom or modular
A custom stand is designed and built for you. A modular stand uses standard components that can be reconfigured and reused. Modular can suit companies that exhibit often, while custom suits a flagship statement. Ask for both options in your quote if you are unsure.
Design complexity and materials
Curved shapes, double-deck structures, special finishes and large printed graphics all add cost. Simple, confident design often performs better than complicated design.
Lighting, screens and audio-visual
Lighting and screens shape how a stand feels and are often a large part of the budget. Decide early what is essential and what is optional.
Furniture, flooring and fixtures
Meeting tables, reception counters, display units, flooring and storage are often priced separately. Check that your quote lists them.
Venue and organiser requirements
Each venue and organiser has technical rules, for example on power, structure and installation. These can affect design and cost, so share the exhibitor manual with your builder early.
Timing
Short timelines can limit your options and increase cost. Briefing your builder early gives more time for design, approvals and production.
Staffing and hospitality
If you plan to use promoters, hostesses or hospitality staff, budget for them alongside the stand. See our event staffing service.
How to keep the budget under control
- Agree the scope and must-haves before design starts
- Share your budget range so the design is realistic
- Ask for a quote that lists every item
- Keep a contingency for changes
- Approve the design before production begins

Quick answers
Why don't you list prices?
Cost depends on size, design, materials, equipment and venue rules, so we prepare a tailored proposal instead of quoting a generic price.
Can I reduce cost without losing quality?
Often yes, through clear scope, a design suited to your space and early planning. Cost optimisation is one of our core strengths.
