Dubai & the UAEExhibition Stand Questions Answered
Quotes, design approval, venue rules, stand types, timing and event staffing: clear answers for companies exhibiting in Dubai and across the UAE.
Quotes and costs
How much does an exhibition stand cost in Dubai?
There is no single price. The cost depends mainly on stand size, custom or modular build, design complexity, lighting, screens and AV, furniture and flooring, venue requirements and timing. Evoke Sense prepares a tailored proposal from your brief.
What do you need from me to prepare a quote?
The exhibition name, your stand size and position in the hall if known, your timeline, brand guidelines, and any must-have items such as screens, storage or a meeting area. A budget range also helps us propose the right level of build.
How quickly will I get a proposal?
We aim to come back with a tailored proposal within 24 to 48 hours of receiving your brief. Complex stands or missing information can take longer.
Is the stand space price from the organiser included in your quote?
No. Space rental is booked with the organiser. Our proposal covers the stand design and build work. Confirm with your organiser what their space booking includes.
Design and approvals
Can I see the design before the stand is built?
Yes. We prepare 2D and 3D concepts for you to review and approve before production starts, so you know what the finished stand will look like.
Does the organiser need to approve my stand design?
Most organisers and venues ask exhibitors to submit stand designs for approval, especially for larger or custom stands. Rules differ by show and venue, so check the exhibitor manual and share it with us at the start.
Do I have to use the organiser's official contractor?
Some organisers or venues require approved or official contractors for certain services, such as electricity, rigging or water, or for larger stands. Check your exhibitor manual or ask the organiser, and tell us so we can plan around it.
What is the difference between a custom stand and a modular stand?
A custom stand is designed and built specifically for your brand and space. A modular stand is assembled from a reusable system, which can suit shows you attend regularly. Custom gives the most design freedom; modular can be easier to reuse.
What is the difference between a shell scheme and a space-only stand?
A shell scheme is a pre-built booth supplied by the organiser, usually with walls, a fascia and basic furniture. Space only means you rent bare floor and build your own stand, which allows a custom design.
What do island, corner, linear and peninsula stands mean?
A linear stand is open on one side, a corner stand on two sides, a peninsula stand on three sides, and an island stand on all four sides. The more open sides, the more visibility and the more design options.
Build and show days
Do you manufacture the stand yourselves?
Evoke Sense works as a design and project-management partner. We coordinate trusted production partners, suppliers and vendors, and supervise installation against the approved design.
Who supervises the build at the venue?
We supervise installation and handover on site so the stand matches the approved design and is ready for opening.
What happens after the show?
We coordinate dismantling and removal with the venue and organiser schedule. Confirm the exact dismantling window with your organiser.
Can you help with screens, lighting and furniture?
Yes. Lighting, screens, furniture and flooring are part of the stand scope, and we include them in the design and proposal.
Timing
How early should I contact a stand builder?
As early as you can once you have booked space. Earlier contact leaves more time for design approval, organiser submissions and production. Exact timing depends on the show and the stand.
Can you work to a short deadline?
Tell us the exhibition and dates and we will say honestly whether the timeline is realistic for the stand you need.
International exhibitors
Can I brief and approve everything online?
Yes. You can send briefs and files, review 2D and 3D concepts and approve the design online, so you do not need to travel to Dubai before the build.
Do you work with Chinese exhibitors?
Yes. We communicate in English by email, WhatsApp or WeChat. We do not currently have Chinese-speaking staff. See our page for Chinese companies for details.
Which cities do you cover?
We work across the UAE, including Dubai, Abu Dhabi and Sharjah. We do not currently offer stands outside the UAE.
Event staffing
What event staff can you provide?
Promoters, hostesses, ushers, models and hospitality staff for exhibitions, launches and corporate events in the UAE, alone or together with your stand.
What do you need to confirm event staff?
The dates and hours, the venue, the number of staff, the roles, any language or dress requirements, and your brief for the day.
